An AI reservation agent for a hotel is an agent that handles the conversation before the booking: it answers the questions guests ask first — what is in the room, is the pool heated, how far is the beach — checks availability through your booking engine or PMS, and then either sends the guest to the right booking step or captures the enquiry for your reservations team. It works on your website, on WhatsApp and on a branded page, in the guest's own language, at three in the morning. On SuperCognit it is built from your website without code and connected to your booking system through HTTP tools. This is how the pieces fit.
What guests actually ask before they book
Reservations teams know this list by heart, because they answer it hundreds of times a season. Four Seasons Fairways, a resort in the Algarve running its concierge on SuperCognit, sees the same questions every day across 132 villas and apartments:
- Availability for specific dates, and what changes if the dates move by a day.
- What is actually in a Deluxe Villa, and how it differs from the next category up.
- Whether the pool is heated, whether there is a kids club, whether the restaurant needs a reservation.
- Transfers from the airport, parking, late check-out, early check-in.
- The cancellation policy, in plain words, before anyone commits.
None of these is a booking. All of them come before one — and a guest who cannot get the answer at 23:00 books somewhere that answers.
The three layers of a reservation agent
Knowledge: your website, cited
The agent is built from your own pages — rooms, rates, amenities, policies, restaurants — crawled into a knowledge base that cites its source on every answer. Seasonal pages re-sync on a schedule, as often as hourly, so the offer on your site is the offer the agent describes. It answers in the guest's language automatically, across 12 and more.
Actions: your booking engine, through tools
SuperCognit deliberately does not ship its own calendar. Instead the agent calls the system you already run: an HTTP tool wired to your booking engine, PMS or channel manager lets it check availability for the guest's dates and create an enquiry or a hold, where the API allows it. For systems without an API, the agent still qualifies the request and hands the guest the right booking link at the right moment — not a homepage and good luck. Where a deposit is part of the flow, it can send a Stripe checkout link inside the conversation.
Handoff: your reservations team, with context
Every conversation lands in the workspace inbox with the guest's questions and the agent's answers. Enquiries the agent could not complete — and any it captured as a lead — reach your team or your CRM with the transcript attached, so the first human reply starts informed instead of asking the guest to repeat themselves.
A booking conversation, step by step
The guest asks a real question
"Do you have a two-bedroom villa for the second week of June, and is it close to the pool?" The agent answers the second half from your pages, with the citation, before touching availability.
It qualifies what it needs
Dates, number of guests, children's ages, preferences the guest mentioned. Collected in conversation, so what reaches the booking engine is a complete request.
It checks availability
Through the HTTP tool, against your live system. It presents what is actually free at the actual rate — nothing it did not verify.
It completes or hands off
If the guest is ready, it sends them to the booking page for that category and those dates, or creates the enquiry in your system. If a deposit is needed, the checkout link goes in the thread.
It catches the not-yet-ready
"Let me ask my partner" is the most common ending. The agent offers to save the enquiry, asks for consent, and the guest becomes a lead your team can follow up — instead of a closed tab.
What it must never do
- Confirm availability it did not check. Without a tool, it qualifies and hands over; it does not guess.
- Invent rates, discounts or upgrades. Every number comes from a page or an API response, and it says so.
- Take card details in the chat. Payment is a link to Stripe checkout, never a conversation.
- Handle a complaint as if it were a booking. It collects the facts and gets a person.
Group and event bookings
Weddings, corporate groups, tour operators and family reunions do not book through a calendar, and they should not be automated end to end. What an agent does well here is the intake: it qualifies dates and flexibility, group size and rooms needed, the type of event, catering and space requirements, and a budget window — then captures the whole request, with consent, as a lead in your CRM or inbox with the transcript attached. Your events team opens a complete brief instead of a two-line email, and the quote is still a human's. The value is not replacing the sales conversation; it is making sure every serious enquiry arrives whole, including the ones that came in on a Sunday.
Which systems it connects to
Where it runs
The same agent runs as a widget on your website, on a branded page such as concierge.yourhotel.com with the certificate handled for you, and on WhatsApp and Telegram. One knowledge base, one set of rules, one inbox — a guest who asks on WhatsApp gets the same answer as one who asks on the site, because there is one agent, not one per channel.
Setting it up
Import the website
Rooms, rates, amenities and policies become a cited knowledge base in about two minutes. Upload the documents the site does not carry: seasonal menus, the group brochure, the cancellation terms in full.
Wire the booking engine
Add an HTTP tool for availability and, if the API supports it, for creating enquiries. Describe each tool in plain words; the description is what the agent reads to decide when to use it.
Set the boundaries
What it may quote, what it must hand off, the disclosure line that it is an AI. Then send it the twenty questions your front desk answers most and read every answer.
Publish everywhere and watch the inbox
Widget, branded page, WhatsApp. Review the first week's conversations: the questions it could not answer are the pages you need to write.
Plans are priced in EUR with a 7-day trial. Import your site today, ask the agent your three most common pre-booking questions tonight, and you will know by tomorrow whether it belongs on your website.
